You need a CRM system (Client Relationship Management) - have a look at SugarCRM: Open Source | SugarCRM - Commercial Open Source CRM This version is free if you can hack hosting it on a local PC somewhere... Used to use ACT! quite a bit as well, for an owner managed business it is great. Licence fee is not expensive IMO. You are right when you say Excel is not enough - a product like this will make complete sense to you!
